How To Configure the Required Forms, Attachments, Party Roles and Reviews of Applications

Overview 

Cloudpermit gives municipal building departments the ability to configure the requirements for building applications. Moreover, with Cloudpermit, building departments can configure different requirements for different applications. To that end, this article explains how administrator users of Cloudpermit can do so. 

How To Configure the Required Forms, Attachments, and Required Reviews of Applications

  1. Log into Cloudpermit at ca.cloudpermit.com
  2. Click your name at the top right, as can be seen in the screenshot below.
  3. Select Configuration from the drop-down menu, as can be seen by the image below.
  4. You have now been redirected to the Application configuration section of Cloudpermit, as can be seen by the image below. Scroll down to Required forms, attachments, and review configs. For reference, please see image below.
  5. Click on Building permit
  6. Complete the Common configuration for building permit applications. 
    1. In other words, the Default inspections, Forms, Required attachments, Required party roles, and Review configs under this section will affect all permit applications. For example, the image below shows certain Default inspections, Forms, Required attachments, Required party roles, and Review configs enabled. This means that all of those settings will apply to all permits on Cloudpermit.
    2. To turn on/off settings here, simply check on/off the boxes on the left side of each setting
    3. When you are finished making changes here, remember to save your work by clicking the save button located on the bottom right.
    4. While applying common settings for all permits is useful, you may wish to hone in the settings for specific application categories (residential vs. industrial). For example, residential building permits may require different attachments, party roles, etc than demolition permits. Please refer to the following sections to learn how to apply settings for specific application categories. 
  7. Complete the Common configuration for each permit category. For this example, we will use Accessory Structure permits.
    1. Directly below the Common configuration for building permit applications (step #6), the various permit categories are listed. An image is included below for reference.
    2. Click on Accessory Structures. This will expand the tile to reveal more information. 
    3. In this section, you can configure Default inspections, Forms, Required attachments, Required party roles, and Review configs that will only affect Accessory Structure applications. To turn on/off settings, simply check the box on the left side of each box. When you're finished, click the save button located in the bottom right. 
    4. There may be some default inspections, Forms, Required attachments, Required party roles, and Review configs that are greyed out (cannot be turned off), for example on the image below. The reason for this, is that they have been turned on in the Common configuration for building permits (step #6). In other words, if there are settings that are greyed out like on the image below, it means that they apply to all permit applications. To turn them off, you will need to turn them off in the Common configuration for building permits (step #6) and click the save button.
    5. Once you turn off the settings off in the Common configuration for building permits section, they will not be turned on (greyed out) in the settings of the permit categories
    6. Once you are finished editing the settings, click the Save button in the bottom right
  8. Optional - Complete the configuration for each work type (Addition, alteration, new, repair, etc.) of each permit category.
    1. For example, we will continue to use the Accessory structure category. Say we want to configure the settings for only Addition Accessory Structure applications. To do so, we will scroll to the bottom of the configuration settings for accessory structures (under Role-specific forms). Please refer to the image below.  
    2. To alter the settings of the Addition Accessory Structures applications, click on Addition. This will expand the tile and reveal more information
    3. Any settings we alter here will only apply to Addition Accessory Structure applications. To alter the settings, simply check on/off the boxes of each setting and click the save button. 
    4. If a specific setting is greyed out (not clickable), it means it is turned on in the Common configuration for building permit applications (step #6). To turn them off, you will need to turn them off in the Common configuration for building permits (step #6) and click the save button. 
  9. Optional - Complete the configuration of each work type (carport, deck, garage...etc.)
    1. Cloudpermit allows you to configure the settings for each work target of different application categories. For example, we will continue to use the Accessory Structures example. Let's assume we want to configure the settings only for Accessory Structure Addition Carport applications.
    2. To do so, we will continue from the end of step #8. At the bottom of the settings for Addition, under Role-specific forms. Here we will find all of the work targets of Accessory Structure Addition applications. For example, we have Carport, deck, garage, etc.Please refer to the image below as an example.
    3. Click on Carport. This will expand the tile to reveal more information. 
    4. The logic here works the same. Any settings that are applied in this section will only apply to accessory structure applications that are for a carport. To turn on/off any of the settings here, simply check/off the boxes on the left side of each setting and click the Save button located at the bottom right. 
    5. If a specific setting is greyed out (not clickable), it means it is turned on in the Common configuration for building permit applications (step #6). To turn them off, you will need to turn them off in the Common configuration for building permits (step #6) and click the save button. 
  10. Complete steps 7 through 9 for each Permit category, work type, and work target
