How to Identify the Parties of an Application and/or Change Roles

Overview

To complete an application on Cloudpermit, you are required to identify various parties of an application (applicants, property owners, designers, contractors, etc.). Depending on the type of application you are applying for, less or more parties will need to be identified. Please refer to the REQUIRED TASKS section of the application to identify which parties are required for you application. For reference, a screenshot has been included below. 

How to Identify Parties of an Application

To identify various parties of an application, you have two available options:

  1. Electronically via email
  2. Inserting a party's information manually. This would generally be done when a party does not have an active email address or does not want/need to be digitally involved with the application.

Inviting Parties Electronically via Email

To invite someone to the application via email, follow these steps:

  1. Navigate to the application dashboard. If the application is already created, please select it from your dashboard. If no application yet exists, please create a new application.  
  2. Scroll down to the Parties of The Application tile
  3. Click the open button near the right side of the tile to expand it.
  4. Click the + Add or invite party button located near the top right of the tile. It should look like this:
  5. Input the subject party’s email address in the email address bar
  6. Give any permissions you want to the party. By permitting the party to modify the application, you allow for the party the ability to modify any of the information on the application, while by allowing the party to add new applications, you are allowing the party to add new applications to the project.
  7. Select the role of the party from the drop-down menu near the bottom left. NOTE: One party may have numerous roles. For example, a party may act as the builder and applicant while another party may only serve as the property owner.
  8. Once you are finished inputting the above, please click the Send Invite button located near the top right of the window. Once you do, an email notification will be sent out to the email address you had inputted. Please instruct this party to check their email inbox for an email from Cloudpermit. Once the party accepts the invitation, their information will appear under the Parties of the Application tile.

Inserting a Party’s Information Manually 

If a party of the application does not have an active email address or does not use the computer and simply does not want be part of the digital project, you can still identify them as a party by doing so manually. To do so, please follow these steps:

  1. Navigate to the application dashboard
  2. Scroll down the Parties of The Application tile
  3. Click the open button near the right side of the tile to expand it.
  4. Click the + Add or invite party button located near the top right of the tile. It should look like this:
  5. Check the box "Input details manually and add the party immediately". It is circled on the screenshot below for reference. 
  6. Input the party’s information within the applicable fields.
  7. Select the role of the party from the drop-down menu near the bottom left. NOTE: One party may have numerous roles. For example, a party may act as the builder and applicant while another party may only serve as the property owner.
  8. Click the Add button located near the top right of the window.
  9. Please note: if you still input an email address in the email address bar, an email invitation will be sent out to the party. 

How to Add/Change Roles of Parties within the Application

Only the applicant and those parties with modification rights can add and/or change the roles of the various parties of applications. To add and/or change the roles of the parties of applications, please follow these steps:

  1. Navigate to the Parties of The Application tile within an application
  2. Expand the tile by clicking the Open button near the right side of the tile
  3. Every party of the application will now appear. Near each party, a blue pencil should appear. Please click it.
  4. Update/add any required information for each applicant. Here you can also add or remove permissions such as modification rights and the ability to add new applications to an existing project
  5. When finished, hit the Close button
